If you work in a department, or if you share similar tasks and responsibilities with others, it s helpful to be able to share the same set of categories with those other users. Doing so helps to ensure that everyone is using the same categories, an important point when you re sharing items or receiving items from others that have categories assigned to them. For example, assume that your department is working on a handful of projects. Having everyone use the same project category names helps you organize your Outlook 2007 items and ensures that searches or sorts based on a given project display all items related to the project, including those you ve received from others.

Outlook 2007 stores your category list in the Calendar folder as a hidden Outlook 2007 item, not in a le. This means that you can t simply share a le to share your categories. Instead, you can create a registry le to share categories.

An incorrect modi cation to the registry can prevent Outlook 2007 from running or could even prevent Microsoft Windows from starting. Be careful when editing the registry.

These steps outline the registry method, which copies categories into the registry: 1. Open Notepad, and then add the following text to the le:

2. In the text string, replace Toy Show;New Products;Research with your own category names, separating each category from the next with a semicolon. 3. Save the le with a .reg le name extension, and then close Notepad. At this point, you have a registry le that other Outlook 2007 users can use to import the category list into their systems. Place the .reg le on a network share where the other users can access it, or share it on a CD, a USB drive, or other media. Then have the other users simply double-click the le to add the categories to their registry.

Sending messages with a speci c account is simple in Outlook 2007. When you compose the message, click Account in the message form, as shown in Figure 7-10, and then select the account you want Outlook 2007 to use to send the current message. Outlook 2007 then uses the reply address and other settings for the selected account for that message.

With the exception of mail for IMAP and HTTP accounts, Outlook 2007 delivers all mail to the default message store. (Outlook 2007 delivers IMAP and HTTP mail to the store associated with the respective accounts.) This can be a problem or an annoyance because all your e-mail could potentially wind up in the same Inbox, regardless of which account it came through. If you manage multiple accounts, it s useful to keep the messages separate. For example, you might want to keep personal messages that come through your POP3 account separate from those that come to your Exchange Server account. You can separate messages into speci c folders or stores using message rules, which allow you to specify actions that Outlook 2007 should take for messages that meet speci c criteria, including the account to which they were delivered. If you share a computer with other users, you probably want to keep your messages separate from those of the other users. Although you could use the same logon account and create separate pro les or even use the same pro le and set up message rules to separate the incoming messages, neither method is a very good solution. Instead, use different logon accounts on the computer, which keeps your Outlook 2007 pro les separate and therefore keeps your messages separate.
